Process Model, Process Documentation & Standardization

Process Model and Process Documentation

Business process modeling is the activity of mapping process of a company so that the business process analyst can analyze and optimize enterprise process and improve operational efficiency.

At the core of Enterprise Process Center® is a centralized repository that stores and manages processes and related information within a user-friendly and intuitive environment.

EPC links together all complex artifacts of an enterprise: objectives, processes, procedures, employees, departments, customers, suppliers, systems, policies, documents, rules, risks, controls, capabilities and performance indicators and ties them all together as puzzle pieces forming a 360 degree blueprint of the organization’s architecture.

Gartner® Certified

Enterprise Process Center® recognized by Gartner® as a global leader in Business Operation System, Operational Intelligence & Enterprise Business Process Analysis (EBPA) including Enterprise Architecture, Business Process Analysis, Strategy-to-Execution & Workflow Automation.

Centralized Reusable Repository

360 Degree Visibility:

Gain visibility into the structure, impact and challenges not only from a process perspective but also from multiple other vantage points (Strategic, capability, departmental, regulatory, risk, role, etc.)

Consistent, Reusable and In-Sync:

All EPC content can be reused as many times as needed, even processes.  All information is referenced centrally, this ensures all naming conventions (eg. role name) are consistent across groups and simplifies maintenance because updates are applied within a single location and automatically synchronized to reflect the modifications throughout the entire system, including even within documentation. User’s have the ability to approve changes before such adjustments are applied to processes and other references which impact them.

Localizable and Comparable:

All EPC content can be reused as many times as needed, even processes. To support the difficult transition to standardization across the organization; not only can processes be reused, but also localized based on the region (eg. different applications or machinery, or laws & regulations, etc.) and when updates are applied to the corporate standard the system will propagate the changes across locations but maintain what was localized to that specific region and allow the user to compare similarities and discrepancies from the corporate best-practice.

Structured Enterprise Architecture:

The EPC provides a structured, holistic top-down approach to documenting the complex interdependencies amongst all the enterprise entities.   Organizing one’s processes, objectives, systems, risks, departments, etc. within independant organized frameworks allows focused responsibility assignment and flexibility for agility within one area while providing clarity of the impacts into another (eg. M&A or organization restructuring can be managed independently of the associated underlying business processes. )

Simplified Change Maintenance:

All features within the system were designed to minimize the effort required to maintain the ongoing updates within the repository, as most of the work is automated.  This is critical to ensure content doesn’t go outdated once the initial heavy lifting is completed.  Such as: changes are made centrally and synchronized everywhere (including within affiliated documentation), process sequencing is updated according to each adjustment (add/remove task or move process to new location), graphs are generated dynamically from the data (vs. manually) with many different views: swimlane, matrix, value-stream, impact, etc., as-is the documentation based on pre-defined standardized templates.  Moreover, the system auto-reminds those responsible of upcoming reviews and automates the ongoing life cycle management & communication of change.

Standardized Modeling & Beyond

MS Office (Visio, Excel & Word) Migration:

Don’t lose the work you’ve done in the past!  Quickly migrate all the content you previously built directly into the repository within days via our import and conversion tools. Import and/or export information from/to Microsoft Visio®, Excel®, Word®, XMI, XML, or CSV. The user friendly import wizard will allow you to import any Visio or Excel worksheet no matter the shapes or format used via its alignment and conversion capabilities.

Standardized Mapping Notation (BPMN 2.0):

Business Process Modeling Notation (BPMN) is the globally recognized mapping standard used around the globe.  BPMN provides standardized rules for documenting a process so that any employee can easily understand any process within minutes.  EPC not only supports the mapping shapes (nomenclature) but also the executable BPMN 2.0 XML as well, providing the ability to exchange processes created within the EPC into other systems.

Beyond BPMN:

BPMN doesn’t cover all relevant information that an employee or management requires to be effective.  The EPC provides many out-of-box standardized attributes to be completed during documentation within every object (eg. description, cost, category, type, etc.) and administrators also have the ability to extend to include their own standard attributes to match their specific program’s & reporting needs.

Flexible Map Details:

Maps can be configured to each specific user’s needs to only show the level of complexity required by the employees using them (eg. IT vs. Auditor vs. Management vs. Employee). The EPC was developed to cater to non-technical users’ tastes just as well as those of IT analysts.  Automatic “full bpmn 2.0” views for IT and analysts and a “simplified bpmn” or “basic” view for management and the general public, further increasing the user adoption rate of the tool.

Hierarchical Frameworks:

Organize your process repository using structured hierarchies, with accountability at all levels. The EPC offers out-of-box industry specific best practice standard frameworks to get you started off on the right foot!   View your processes from a high level birds-eye view, or blow-out all sub-processes using the EPC flat-map multi-level expansion tool to view your end-to-end value-streams for the first time.

RACI Responsibility Framework (RASCI-VS):

Users can edit and define different levels of responsibility, accountability and involvement for all flow-objects: processes, tasks, risks, controls, rules, applications, etc., of the full map at the same time. The EPC supports the best practice RACI responsibility framework including its extensions (base is limiting based on real-world scenarios) and the ability to extract and visualize or report complex RACI responsibility matrices across the organization with a single click of the button. Besides, to save time, users are also capable of adding roles, org units, resources, and assets directly in the Graph Edit mode, and then assign responsibilities to one or multiple flow-objects at the same time under the RASCI-VS matrix.

Hierarchy & Map Auto-sequencing:

Processes and process frameworks are constantly evolving over-time; processes will move to different areas within the hierarchy framework and tasks will be added and removed to improve efficiency and maintain competitiveness. The EPC simplifies the monotonous task of keeping sequence numbers in-sync, and gives a well-structured, sequenced and clean process map through the “Auto-sequence” button in the graph edit mode. This feature can automatically re-sequence processes, sub-processes and tasks using your standardized rules (i.e. HR1.0, HR1.1, HR1.1.1… could be the hierarchy and the map could be 1.1.1, 1.1.2, 1.1.1.3…), eliminate any manual effort and mistake.

Automatic Graph Layouts and Views:

Once you’ve assigned the relationships amongst the different objects within the repository, the EPC provides many auto-generated views of the same content, including swimlane views, swimlane matrices, impact bubble graphs, in-graph sub-process explosions, end-to-end process expansions, etc.  This benefits your team in two fold, firstly it provides you with the flexibility of analyzing the same content based on different users need (eg. IT may want to see system impact analysis, Internal Audit may want to see task by risk & key control, Management may want to see process by performance, employee may want to see swimlane by his task, a BA may want to see upstream or downstream critical path analysis, etc.).  Secondly, it highly simplifies maintenance because since views are generated automatically, users can apply changes centrally (eg. role name) and no manual effort is required to update the maps.

Custom node colors available to add/modify flow-object colors:

Within the BPMN 2.0 graph, the EPC enables users to add and modify colors for all the BPMN 2.0 flow shapes under various contexts, making your processes more visually engaging and distinctive for different audiences.

Intuitive & Simplified Mapping

Drag-and-drop Feature:

Mapping flowcharts is simple to do with our EPC’s drag-and-drop functionality and map layouts are generated automatically with a single click; removing the need to manually re-layout the entire map each time a task is added or removed overtime. Additionally, the EPC’s intuitive, “create once” and “reuse many” is fast and easy for any non-technical business user.

Auto-transition Alignment:

No need to re-organize your process flows when you need to adjust your process layout! Our auto-transition alignment ensures that your maps always look good when adjusting shape location. Besides, with our improved automatic re-route feature, users can re-organize objects within the map by simple drag-and-drop. Any process mapper can easily manipulate shapes and customize the process flows in the EPC.

On-click Auto-layout:

Getting a clean and standardized process map with all annotations can be achieved via the “Auto-Layout” icon within the process map. This unique feature not only allows process mappers to make a pretty and neat process map in no time, but also enables users to expand shape decoration annotations, gain more information, and enhance understanding of the process.

Create New Objects On-the-fly:

The “New” feature in the header allows users to create any new object directly from any page into a specific module, without the need to navigate to that module first. This centralized object creation on-the-fly will shorten the overall process design timeline with one simple click. Moreover, users can define Artifact & Annotations within the map, associate them to real objects, and quickly search for all object associations.

Move Objects Using Parent Selector:

The “Parent Selector” allows users to move objects (processes, roles, resources, documents, risks, controls, Master Data, all folder types…) from one destination to another within a module, and select a parent for new objects. Besides defining where to move and store an object, users can also edit the parent objects of existing objects. This will allow more efficient and easier process management in the EPC.

Merge objects to eliminate redundancy or confusion:

The EPC enables users to merge two objects (any object except for processes) of the same types into one after identifying duplication (especially after imports). This will greatly reduce the complexity of process editing caused by restructuring initiatives or change management.

Full Map Copy/Paste & Undo/Redo:

Copy, paste and cut actions for all attributes and associations of the flow-objects can be achieved via icons or keyboard short-cuts within the WebApp. The Undo/Redo feature allows users to undo or reproduce any changes they have made in the mapping session. This ease-of-use feature will greatly reduce your mapping complexity and improve your mapping quality.

Real Time "Sync" Collaboration:

The “Sync” button within the graph view allows multiple users to view changes of a process map as they are made in real time by another user (process mapper), which will facilitate organizational collaboration. This feature is extremely valuable especially for multinational or cross-departmental teams who need to be engaged and consulted in the process mapping.

Swimlane inline explosion & shortcut inline explosion:

The EPC enables users to create shortcuts not only for processes, but also for tasks and reuse them within the graph view through inline explosion, facilitating users to make references to relevant processes and tasks without further navigation.

Version Comparison & Object Restoration:

The EPC supports different version comparison of a process within the graph view, meaning users can compare current version against any previous version of the same process. To restore any deleted object (process, role, document, attribute, master data…) of the current process, users can always go to the “Archives” tab where they can view, manage, restore, and move deleted objects quickly and easily.

High Quality Process Map Printing

View Draft Access Permission:

The EPC strengthens your process collaboration without sacrificing data security. The “Show Latest Allow” security setting enables users  who don’t have edit right to have access to the latest draft version of a process map.

Auto-shift:

The powerful map printing feature of the EPC will help users re-organize processes to meet specific printing requirements – our Dynamic Printing will automatize your process clipping areas, eliminating the manual effort to adjust your process for a print-out.

Add & Remove Pages:

Users can add or remove pages on the point of print, and adjust page break locations based on their desired layout to reduce of number of pages if it is necessary.

Flexible Printing Options:

Besides the printing layout, users can also adjust map orientation and decoration to meet the needs of different audience. The Process Print Clipping feature will allow users to re-organize the process, re-size the printing window, and add/remove pages based on actual printing needs without interfering or disrupting the process itself.

Comprehensive Documentation

Multi-Language Content Localization:

Important for multinational organizations, whether it’s to provide all employees with easy to read processes and procedures within their mother tongue language or because of international local government laws, you can translate all EPC content (eg. names, descriptions, attributes, categories, procedures, etc.) into as many local languages as required for your company.  This also simplifies the ongoing maintenance and standardization of processes because there is a single location to update no matter where it is being accessed from.  Moreover, EPC supports all script characters, including Arabic, Chinese, Korean, Thai, etc.

Document Repository & Management:

EPC integrates with corporate intranet fileservers and 3rd party document management systems (eg. SharePoint) by providing relevance to each document by associating it with the specific tasks whereby it is used.  Moreover, the EPC has its own internal storage and management repository as well for those organizations with no management system in place.  The EPC offers full document life cycle management capabilities, including security access, approval cycle, revision scheduled, version document stamping, version roll-back control and full audit trail support.

Multimedia Embedding:

Users can attach multimedia documents associated to a process in the EPC, including text, picture, video, etc. Whether through URL or upload, multimedia documents can be previewed directly on line under the “Detail” view of the process, encouraging end-users’ adoption rates and deepening their understanding toward a certain process.

Rich Text Formatting:

Procedures can be complex. Therefore, being able to document with easy to read formatting, including fonts, bullet points, screenshots, tables, and diagrams makes it that much easier for employees to understand not only the “what” to do, but the “how” as well.  Migrate your current Standard Operating Procedures very quickly by copy/pasting the content directly from MS Word, and don’t lose any of the user-friendly formatting.

Process Summary:

The “Summary” feature under the detail view of a process gives a glace at all flow-objects data (RACI, document, risk, etc.) all at once. Users can obtain a high level understanding of a process without clicking into every task, role, resource and document or propagating every detail in the map. This comprehensive summary will serve as a tool for better strategic planning and evaluation of a process.

Standardized & User-Definable Attributes:

Providing the most information surrounding an object (process, task, role, etc.) will derive the highest quality documentation for your organization. The EPC has a significant set of standard attributes (fields) for every object (name, type, description, cost, category, etc.) and offers the possibility to extend the attributes of any object to include your own custom fields. By capturing information within their own specific attributes provides the ability to easily filter, report and export content based on a specific attribute vs. the information being “hidden” within text fields or documents.

Pre-definable Values for Custom Attributes:

The EPC allows users to pre-define a host of values from which other end-users can select and then apply on single or multiple objects; users are also capable of forcing single-select one value for an user-defined attribute (UDA), or allowing multi-select various values for the custom field. Moreover, the EPC enables users to mark a field as mandatory to make sure other end-users complete it as required, as well as select a default value for a field in order to save time while completing it. To summarize, users can edit, select, search, and report all the pre-defined values with their custom attributes (fields) independently or as a batch in our EPC.

Customizable Document Templates:

All content stored within the repository can be outputted into corporate customized standardized templates, with your own branding, header/footers, formatting, and specified content (role list, rules, process details, etc.). You can reuse the same template to include different processes or areas of the business and also create different templates for different purposes and audiences; often leveraged for Standard Operating Procedures, System Requirements, and Audit Reports. Beyond being a document management system, EPC is in-effect also a document generator.

Spell Check:

Quality documentation requires NO Typos! Do not diminish your corporate brand by publishing content with spelling mistakes! EPC automatically underlines in red spelling mistakes within real-time as the user types, not only rich text fields, but within all fields! Everyone is time-sensitive, EPC reduces the chance of outputting content with spelling errors to your staff and customers.

Access & Navigation

Web-based & Mobile Responsive:

Employees can access their processes and procedures remotely by PC, tablet or mobile phone without the need to install any software. This convenience allows employees to stay informed and refer back to best-practice standards wherever they are in the world; even during offsite remote projects.

Corporate branding:

It’s important to maintain your corporate branding guidelines within all applications that employees use on a regular basis to do their work. The EPC end-user interface, all documentation and reports can be easily customized with you corporate branding logos, fonts and themes.

Elastic Full Text Search:

Employees today are used to finding quality information easily and fast using Google. The EPC’s elastic full text search does just that by providing users the ability to locate relevant information quickly and jump-straight to the queried item effortlessly. The EPC not only indexes and ranks relevance based on names, but based on ALL attributes (including custom attributes) associated to the object, even text within associated physical documents.

Portal Employee Personalization:

Employees can only see items relevant to them based on their role and security access. Additionally, employees can create their own custom dashboards to depict the most important or most frequently accessed information within a summarized valuable view. This greatly enhances user experience by minimizing clicks and enabling information to be more pertinent.

User Specific Reports:

All content captured within the EPC repository is fully re-portable. This brings tremendous value to your employees because never before could they extract business logic (process details, relationships, performance, past versions, audits, etc.) based on specific criteria into a single report. Different users can access different reports based on their roles within the organization (eg. BA – Process Cost Report, QM – Change History Report, Auditor – Control Matrix Report, PM – Program Progress Report, etc.) directly from their employee portal. Reports can be scheduled to run automatically or can also be re-run on-the-fly with specific parameter prompts (eg. date range, or department, etc.)

Digital and hard-copy accessibility:

Documents, maps and reports are also printer-friendly. As it is highly likely that not every employee will have access to the EPC platform, having these easily accessible for distribution is a great advantage.

Forum for continuous improvement:

Analysts have a channel to communicate with their peers. Here, they can raise change requests, address quality issues, discuss policies, and more. This gives them a channel to voice their opinions and creates a highly-collaborative environment, which ultimately motivates them and increases adoption rates.

Easy Sharing with Unique URL:

Through our simple one-click real-time sharing feature, analysts can access and share process maps quickly through specific URLs generated by the EPC. This will ensure information consistency and transparency among various users with respect for security measures related to information accessibility.

Automated system notifications:

Users are notified of anything requiring their attention through both their dashboards and emails, which include URLs for direct access.

Document Generation, Reports & Exports

Automated Document Generation:

The EPC can consolidate all the information within the repository into customizable and automatically update documents, such as process books and SOPs, which can be used for many purposes (e.g. training material, audit reports, system requirements, etc.).

Export & System Integration:

We understand the value of standards and the need to exchange content with other tools within your enterprise (3rd party systems like ERPs, Workflow Engines, IT analysis tools, etc.). EPC content can be exported into multiple standard formats, including: Excel, CSV, XML, BPMN 2.0, XPDL 2.2 and XSD as well as an extensive API for ongoing seamless integration.

All Fields Reportable:

All data stored within the EPC repository, including user-defined custom attributes and historical versions, can be easily extracted through the EPC’s advanced reporting engine. Reports can be filtered by any specific attributes (eg. processes by product, or tasks by role, or updated within a date range), scheduled to run automatically and outputted into numerous formats: HTML, XML, PDF, and Excel formats.

50+ Out-of-Box Reports:

The EPC holds 50+ out-of-box report and dashboard templates. These give users quick access to the most up-to-minute data. These reports can be scheduled to run automatically on a regular basis, allow users to re-run reports on-the-fly and include run-time data prompt filters directly from their MyEPC Web page.

Analysis reports:

Reports can be configured and customized to analyze specific aspects of your processes and derive operational knowledge. Examples include lean, cost, impact, and maturity analyses.

Content reports:

Analysts can easily create intelligible reports containing object details for distribution purposes.

Program reports:

EPC supports you to better manage the launch of your project and monitor the ongoing success of your continuous improvement program. EPC program based reports provide visibility into ongoing progress based on predetermined targets, whether desired maturity levels have been reached, risks are being mitigated, performance goals are achieved, quality is improved, and compliance initiatives are maintained.
